How designers hand off thumbnails and graphics to video editors

Thumbnails, lower thirds and logos in one shared Assets library, sent straight from Illustrator, instead of buried in a Slack thread.

On most small video teams, the designer and the editor never work in the same place. The designer exports a lower third from Illustrator, drops it in Slack or WhatsApp, and the editor downloads it. Then the colour changes, and there are two files called lower-third.png in two different threads, and the video goes out with the old one.

Thumbnails go the same way: five options posted in a chat, a thumbs-up on one of them, and the creator uploading a different one because they scrolled past the reply.

This post covers a simple handoff that fixes it, and how Seamlift's Illustrator extension (which we make) does it without anyone exporting, downloading or renaming files.

What a good handoff needs

Whatever tools you use, the designer-to-editor handoff works when:

  1. There's one shared place for graphics per project, not a chat thread.

  2. Names are clear and stable. lower-third_name_v2.svg, not Untitled-3 copy.png.

  3. Vectors stay vectors where they can, so the editor can scale a logo for 4K without it going soft.

  4. Updating a file doesn't silently break the old one. Nobody overwrites a file someone else is using.

  5. The editor can pull everything new in one go, without hunting for links.

How it works with Seamlift

Every Seamlift project has an Assets folder, shared by everyone on the project and by Seamlift's editing-app integrations: the Illustrator extension, the Premiere Pro panel and the Blender add-on all read and write the same folder.

From Illustrator: upload artwork

The Seamlift extension lives in Window → Extensions → Seamlift.

  • Select artwork, or pick the active artboard, and Upload to Assets as SVG or PNG.

  • The extension exports from a scratch copy, so your document is never modified or saved by it.

  • If an identical file is already in Assets, it's skipped. If a different file has the same name, the new one is added as name (2).svg rather than replacing it. Nobody's file gets overwritten.

Into Illustrator: import shared files

The extension's On Seamlift list shows images (PNG, JPG, TIFF, PSD, GIF, BMP) and vector files (SVG, AI, PDF, EPS) in the project's Assets. Import into document places vectors as editable artwork and embeds images. That's handy for a thumbnail designer who needs the channel logo, or a frame grab the editor uploaded.

In Premiere Pro: the editor pulls everything new

On the editor's side, the Seamlift Premiere Pro panel has an Assets tab with a Download button. It brings every file Premiere doesn't have yet into a "Seamlift Assets" bin. No links to click, nothing to rename. If a file changed on Seamlift, it shows as Updated and the new copy replaces the old one on disk.

So the loop is: the designer uploads from Illustrator, the editor clicks Download in Premiere, and the graphic is in the bin.

Thumbnails: review them like the video

Thumbnails deserve the same review as the edit. Upload the options to the project, and the creator can open each one in Seamlift, comment on it and draw on it to mark the exact spot that needs to change ("make this text bigger", "swap this face for the surprised one"). Sponsors and clients can leave comments from a share link without an account.

When the video goes to YouTube from Seamlift, the chosen thumbnail is set as part of the YouTube draft, so the one that was approved is the one that goes out.

Setting it up

  1. In Seamlift, go to Integrations → Illustrator and download the extension (.zxp).

  2. Install it with the command shown on that page for Windows or macOS, then restart Illustrator. On Windows, the Seamlift installer can also set up the Illustrator, Premiere Pro and Blender integrations in one go.

  3. Open Window → Extensions → Seamlift, generate a connect code in Seamlift, paste it and click Connect.

It needs Illustrator 2021 (version 25) or newer, on Windows or macOS.

A naming convention that helps

Even with a shared library, names matter. A simple pattern:

type_subject_v01.ext

  • lowerthird_guestname_v01.svg

  • thumb_ep42_optionB_v02.png

  • logo_sponsorname_white.svg

Types first means the Assets list sorts into groups: all lower thirds together, all thumbnails together.

FAQ

Is there an Illustrator plugin to sync assets with a video team?

Yes. Seamlift's Illustrator extension uploads a selection or artboard as SVG or PNG to a project's shared Assets folder and imports shared images and vectors back into a document. Editors pull the same assets into Premiere Pro with Seamlift's panel.

How should designers hand off thumbnails and graphics to editors?

Use one shared folder per project instead of chat threads, keep vectors as SVG where possible, use clear versioned names, and never overwrite a file someone may be using. With Seamlift, the designer uploads from Illustrator and the editor downloads everything new into Premiere with one button.

Does uploading a new version overwrite the old file?

No. Identical files are skipped, and a different file with the same name is added alongside it as "name (2)". In Premiere, a file that changed on Seamlift shows as Updated.

Which Illustrator versions are supported?

Illustrator 2021 (version 25) or newer, on Windows and macOS.
